What personal data we collect
We collect only the data we need to run your account, keep play safe and fair, and meet the duties placed on us as the holder of a gaming licence. Some of it you give us directly; some is created automatically when you use the site; some comes from the verification and fraud-prevention partners described further down this page.
Account and contact details
- Your full name, date of birth, residential address and nationality.
- Your e-mail address and mobile number.
- Your username and a protected form of your password.
- Your contact preferences, including whether you have opted in to offers.
- The safer gambling settings you choose, such as deposit limits, loss limits, session reminders and time-outs.
Identity and age verification documents
Before you play, and at later points where our checks require it, we ask for documents and run electronic checks to confirm who you are and that you are old enough to gamble. This can include photo identification, proof of your address, proof that you own the payment method you are using, and, where our obligations require it, information about the source of the funds you deposit. We also keep the outcome of each check.
Transactions and gambling activity
- Deposits, withdrawals, pending payments and your balance history.
- The payment methods registered to your account, as held in the cashier.
- Bonuses and promotions you have taken part in, and how any wagering requirement progressed.
- Your game play, including stakes, outcomes, session lengths and the times you played.
Device and usage data
- Your IP address and the approximate location it indicates.
- Device type, operating system, browser and device identifiers.
- Log-in times, pages opened and actions taken on the site.
- Cookie and similar identifiers, as covered in our Cookie Policy.
- Your messages to us, including live chat transcripts and e-mails.
Why we use your data and the legal basis for each use
Under UK GDPR we must have a lawful reason for every use of your data. The table below sets out our purposes and the basis for each one in plain words.
| What we use your data for | Our legal basis, in plain words |
|---|---|
| Opening your account, taking deposits, settling bets and paying withdrawals | Carrying out the contract you accept when you register with us |
| Confirming your age and identity, and keeping those checks up to date | Meeting the legal duties placed on a licensed gambling operator |
| Preventing and detecting fraud, money laundering, bonus abuse and account takeover | Our legal duties, together with our legitimate interest in protecting players and the business |
| Acting on your limits, time-outs and self-exclusion, and carrying out safer gambling checks | Our legal duties and our legitimate interest in protecting players from harm |
| Answering your questions by e-mail or live chat and handling complaints | Carrying out our contract with you and our legitimate interest in running a proper support service |
| Sending you offers, bonuses and news about our games | Your consent, which you may withdraw at any time |
| Keeping business records, reporting to the authorities and defending legal claims | Meeting our legal duties and our legitimate interest in keeping accurate records |
Automated checks and decisions
Some of our identity, payment and safer gambling checks run automatically, which may delay a payment or restrict an account until a member of staff has looked at the case. Where an automated decision has a significant effect on you, you can ask us to have a person look into it and explain the outcome.
Marketing you can stop at any time
We only send marketing where you have opted in. You can change your contact preferences in your account, use the unsubscribe option in any message, or write to us. Withdrawing consent does not affect messages we must send about your account, such as payment confirmations or changes to our terms.
Who we share your data with
We do not sell your personal data. We share it only where it is needed for the purposes above, and the suppliers who process data on our behalf act on our written instructions and may not use it for their own ends.
- Payment and banking providers, so deposits and withdrawals can be processed.
- Identity-verification, age-verification and fraud-prevention partners, including the databases they use for electronic checks.
- The suppliers who host our site, run our games and provide our e-mail and live chat tools.
- The national multi-operator self-exclusion scheme, GamStop, so that a registration made there is applied to your account.
- Our professional advisers, auditors and testing houses, where they need access to carry out their work.
- Regulators, law enforcement, courts and tax authorities, where the law requires us to disclose information or where we must report a concern.
- A buyer or successor, if the business or part of it changes hands, subject to the same protections.
If any of our suppliers handle your data outside the UK, we put in place the safeguards that UK data protection law recognises, so your data keeps an equivalent level of protection.
How long we keep your data
We keep your personal data for as long as your account is open, and afterwards for the period the law and our licence conditions require. That retention period covers anti-money-laundering records, transaction and gambling history, verification documents and the evidence behind any decision we made about your account.
Records of a self-exclusion or a closure on safer gambling grounds are kept for at least as long as the applicable rules set, so that we can honour them. We also keep a minimal record of marketing opt-outs, because that is the only way to make sure you are not contacted again.
Once a retention period ends, we delete the data or anonymise it so that it can no longer be linked to you. We do not state fixed periods here because they differ by record type and change when the law changes; you can ask us what applies to a particular record.
Your rights and how to use them
Under UK GDPR you have the following rights over the data we hold about you.
- Access a copy of your personal data and information about how we use it.
- Correction of data that is wrong or incomplete.
- Erasure of data we no longer have a reason to keep, bearing in mind the records we are obliged to retain.
- Restriction of our use of your data while a question about it is being settled.
- Objection to uses based on our legitimate interests, and to direct marketing at any time.
- Portability of the data you gave us, in a commonly used electronic format.
- Withdrawal of consent where consent is the basis we rely on, such as marketing.
- Complaint to the Information Commissioner's Office, the UK regulator for data protection.
To use any of these rights, write to support@casinogentlemanjim.co.uk or start a live chat on the site and ask to be put through to our data protection team. Please tell us which right you are using and what the request covers. We may ask you to confirm your identity before we act, so that data is not released to the wrong person, and we will answer within the period data protection law allows.
If you are unhappy with how we have handled a data request, tell us first and we will have it looked into. You can also raise the matter with the Information Commissioner's Office at any time; using our complaints process does not take that right away. Gambling complaints that are not about your data follow the separate route set out in our terms.
Cookies and similar technologies
We use cookies and similar technologies to keep you signed in, remember your settings, keep the site secure, measure how the site is used and, where you have agreed, show you relevant offers. Cookies that are strictly necessary for the site to work are always on; all others are set only with your consent, which you can give, change or withdraw through the cookie settings on the site or in your browser. The full list of what we use and what each one does is in our Cookie Policy, and we handle any personal data collected through cookies in the way described in this Privacy Policy.
We may update this policy when our practices, our suppliers or the law change. The current version is always on this page, and we will tell you about significant changes by e-mail or a notice in your account. Questions about anything on this page can be sent to support@casinogentlemanjim.co.uk.
